Booking and Reservations

You can book by calling our 24x7 reservations line on +91 11 4258 8888, emailing enquiry@ktcindia.com, sending a WhatsApp message, or submitting the enquiry form on any page of this website. A reservations executive confirms availability, vehicle type and pricing before anything is finalised.
For a standard sedan or SUV in a metro city, a few hours notice is usually enough. For a specific model, a coach, a wedding fleet or travel during peak season, we recommend at least three to seven days so the exact vehicle can be reserved for you.
Yes. Our control room operates around the clock and we hold reserve vehicles in major cities for short notice requirements. Same day airport transfers and city disposals are common requests and are usually confirmed within minutes.
Yes. Reservations, dispatch and on-road support run 24x7, every day of the year, including public holidays. Late night airport arrivals and early morning departures are routine for us.
Local city use is normally billed as a four hour or eight hour package, or as a point to point transfer. Outstation journeys are billed per day with a minimum daily kilometre allowance. There is no minimum contract length for corporate accounts.
Yes. Multi day bookings are common for delegations, film units, weddings and touring itineraries. The same vehicle and the same chauffeur normally stay with you for the whole assignment, which makes the experience far smoother.
Yes, and we recommend it when the vehicle matters to the occasion. Specific models such as the Mercedes S-Class, V-Class or a Toyota Vellfire should be requested in advance so the exact car can be blocked for your dates.
We will always try. Colour availability depends on the city and the model. Black and white are the most commonly available in the luxury segment. Tell us at the time of booking and we will confirm what is possible.
You receive a written confirmation by email with the vehicle type, date, reporting time, pickup address and the billing basis. Chauffeur and vehicle details are shared before the journey begins.
Chauffeur name, mobile number and vehicle registration are shared shortly before the pickup time, typically the evening before for a morning departure. For airport pickups you also receive them once the chauffeur reaches the terminal.
Yes. Timing changes, route changes and vehicle upgrades can usually be accommodated if you tell us with reasonable notice. Changes are subject to availability and any difference in tariff.
Usually yes. Tell the chauffeur or call the control room and we will check whether the vehicle is free. Extensions are billed on the applicable hourly and kilometre rate.
Yes. A large share of our work comes from overseas corporate travel desks, embassies and international tour operators booking ground transport in India on behalf of their travellers.
Yes. Bookings are frequently made by travel desks, executive assistants and event agencies for a third party. Simply give us the traveller name and contact number so the chauffeur can identify them.
Yes. A GST compliant invoice is issued for every booking. Corporate accounts can be invoiced monthly against a purchase order or cost centre rather than trip by trip.
Yes. Multi vehicle movements are a core part of what we do, from a two car executive movement to a fifty vehicle conference. One coordinator manages the whole fleet so you have a single point of contact.
Yes. Our dispatch team holds standby vehicles in every operating city. If a vehicle develops a problem, a replacement is sent without you having to arrange anything.
Yes. The 24x7 control room number is on your confirmation and every journey is GPS tracked, so our team can see where the vehicle is and assist immediately.
Date and reporting time, pickup and drop locations, the number of passengers and luggage, the vehicle preference if any, and a contact number for the traveller. For corporate bookings we also record the cost centre or reference.

Corporate Car Rental

Yes, and corporate work is the largest part of our business. We hold long standing accounts with multinationals, banks, consultancies, manufacturers, technology companies and government departments across India.
Corporate accounts are set up on credit terms with agreed tariffs, monthly consolidated invoicing, a named account manager and defined service levels. Retail hire is booked and settled per journey.
Contact us with your expected requirement, cities and monthly volume. We prepare a proposal covering vehicle categories, tariffs and service levels, then complete documentation and onboarding, usually within a few working days.
Yes. Approved corporate accounts are given credit terms with monthly invoicing. The exact terms are agreed during onboarding and depend on volume and the account structure.
Yes. Bookings can be tagged to a cost centre, project code, employee name or department, and the monthly invoice broken out accordingly. This is one of the most requested features by finance teams.
Yes. Corporate accounts receive periodic reporting covering trips, vehicle categories, cities, cost centres and spend, which helps travel managers see where the budget is going.
Yes. Dedicated vehicles on monthly retainer are a standard arrangement for directors and senior management, with the same car and the same chauffeur assigned throughout.
A vehicle and chauffeur are placed at your disposal for the month on an agreed package of hours and kilometres, with any excess billed at a pre agreed rate. It works out considerably better than daily hire for regular use.

Employee Transportation

Yes. We operate employee transport contracts for corporate offices, technology campuses, manufacturing plants and BPO operations, covering scheduled shift movement and ad hoc requirements.
Typically the Toyota Innova Crysta, Force Urbania, Toyota Hiace and larger buses and coaches, chosen by headcount, route and pickup density. Executive sedans are used for management level travel.
Yes. Multi shift operations including night shifts are standard. Routes, rosters and reporting times are agreed in advance and adjusted as headcount changes.
Yes. Night transport for women employees is handled in line with statutory requirements, which commonly include a security escort and a route plan that avoids the employee being the last drop.
Yes. KTC employs women chauffeurs and they can be allocated to employee transport routes where a client requests it, subject to availability in that city.
Routes are built from employee home locations, shift timings and traffic patterns, then reviewed regularly. The aim is to keep travel time reasonable while keeping vehicle occupancy efficient.
Yes. Every vehicle is GPS tracked and visible to our control room throughout the journey, which supports both employee safety and client reporting.

Airport Transfers and Airline Crew

Yes. Airport transfers are one of our highest volume services, covering arrivals, departures and inter terminal movement in every city we operate.
Yes. Our dispatch team monitors flight status so the chauffeur is in position when you actually land, rather than at the originally scheduled time.
Nothing changes for you. We track the flight and adjust the reporting time. A reasonable waiting allowance is included and any extended wait is discussed rather than applied silently.
Normally at the arrivals exit with a name board, or at an agreed meeting point. For premium arrivals we can coordinate with the airport meet and greet service.
Yes. Late arrivals and pre dawn departures are routine. The reservations line and control room operate 24x7 specifically for this.
Yes. Group arrivals are handled with the right mix of vehicles, from a single Toyota Hiace to multiple coaches, with one coordinator managing the reception.
Yes. Delhi is our largest operation and Terminal 3 is our highest volume pickup point, with vehicles positioned around the clock.

Yes. We coordinate with private terminals and FBOs for general aviation arrivals, where the vehicle is often required much closer to the aircraft than at a commercial terminal.
Yes. Airline crew handling is a specialist service we operate for carriers, moving cockpit and cabin crew between the airport and layover hotels on strict timings.
Crew movement is timing critical and highly repetitive, with rosters that change daily. It requires dedicated vehicles, briefed chauffeurs and a dispatch team that can absorb schedule changes at short notice.

Weddings and Events

Yes. Weddings are a major part of our work, covering the bridal car, family vehicles and guest transport as a single coordinated operation.
The Mercedes S-Class and Jaguar XJL are the most requested bridal cars, with the Mercedes V-Class and Toyota Vellfire used for immediate family. Vintage cars are chosen when the couple want something distinctive.
Yes. We maintain a vintage collection that is one of the most requested parts of our fleet for weddings and photo shoots. These need to be booked well in advance.
Yes. Floral decoration can be arranged on request, or your decorator can dress the car. We ask that fixings do not damage the paintwork and our team will advise on this.
Yes, and it is usually better handled together. We provide coaches and vans for guest shuttles between hotels and venues alongside the family vehicles.
Yes. Indian weddings typically run across several days and functions. Vehicles are assigned for the full period with the same chauffeurs throughout, which avoids re briefing every day.
Jaipur, Udaipur and Goa are our busiest destination wedding markets, followed by Delhi NCR, Chandigarh and the Punjab region for large family celebrations.
Yes. Palace and heritage hotel weddings in Jaipur, Udaipur and Jodhpur are a regular assignment. Narrow heritage approaches need careful vehicle selection, which we advise on.
Yes. For larger wedding fleets we assign a coordinator who manages vehicle timing, guest movement and the changing schedule that every wedding produces.

Mercedes-Benz Fleet

Our Mercedes fleet includes the S-Class 350 and S-Class 450, the E-Class, the V-Class, the GLS SUV and the Sprinter van, covering flagship travel through to group movement.
The S-Class is our flagship chauffeur car, used for chairmen, heads of state, visiting principals and formal occasions where the rear cabin experience and arrival presence matter most.
Three passengers comfortably, though it is most often used for one or two, since the value of the car is in the rear cabin space rather than headcount.
Both offer the same flagship cabin experience. The 450 sits above the 350 on engine specification and trim. For most journeys the passenger experience is very similar, and the 350 is the more economical choice for regular corporate use.
The E-Class is the practical choice for daily executive travel, airport transfers and regular corporate use. The S-Class is reserved for occasions where flagship presence is required.
The V-Class is our most requested vehicle for moving small groups in comfort. Captain seating and a generous luggage bay make it ideal for corporate delegations, wedding families and VIP groups of up to six.
Typically six passengers in captain seat configuration, or seven depending on layout, with luggage space retained behind the last row.
Yes, it is one of the best options. Unlike a sedan, it carries six passengers and their luggage in one vehicle, which avoids sending a second car.
The Sprinter carries larger groups where an MPV is too small and a coach unnecessary. It is our standard vehicle for production crews, conference shuttles, roadshow teams and airline crew movement.
Configuration varies, but typically twelve to sixteen passengers with proper luggage capacity retained.
The GLS combines flagship cabin quality with genuine SUV capability. It is used for executive family travel, security convoys and premium touring where road conditions vary.
The core Mercedes range is available in all major metros. In smaller cities availability is confirmed at the time of booking, and vehicles can be positioned from a nearby hub with notice.
Our Mercedes fleet is owned and maintained in house, which is why we can guarantee condition and availability rather than depending on the open market.
The fleet is refreshed on a rolling basis. Vehicles offered for chauffeur duty are maintained to manufacturer schedules and presented in showroom condition for every assignment.
Yes. The S-Class is the most requested bridal car in our fleet, with the V-Class commonly used alongside it for the immediate family.
Yes. Monthly retainers on the E-Class and S-Class are among our most common corporate arrangements for director level travel.
Yes. The Mercedes fleet is offered chauffeur driven. Self drive is available on selected other categories rather than the flagship models.

The V-Class and GLS are the easiest for passengers with limited mobility because of the higher seat position and wider door aperture. Tell us and we will recommend the right vehicle.
Yes, where the vehicle is free. Regular clients frequently ask for the same car and chauffeur, and we accommodate it wherever the schedule allows.

Toyota and Other Fleet

Our Toyota fleet includes the Vellfire, Camry, Innova Crysta, Fortuner, Hiace and Coaster, covering luxury MPV, executive sedan, workhorse MPV, SUV, van and mini coach requirements.
The Vellfire is a luxury MPV used when four to six people want to travel together without giving up comfort. Powered captain seats and a quiet hybrid drivetrain make it popular for wedding families and senior delegations.
Both carry a similar group in comfort. The Vellfire has a more lounge like rear cabin and a hybrid drivetrain, while the V-Class has a more understated European character. Both are excellent, and the choice is usually preference.
The Hiace is our dependable group transport van, used heavily for airline crew movement, delegation transport, conference shuttles and airport group transfers.
Configurations vary, but typically ten to thirteen passengers with high roof seating and generous luggage capacity.
The Coaster is a premium mini coach seating around twenty, used where a van is too small and a full coach excessive, such as delegation movement and executive group travel.
It seats a full team comfortably, handles long highway days without complaint and can be serviced anywhere in the country. It is the most contracted vehicle in Indian corporate travel and a mainstay of our employee transport fleet.
Choose the Fortuner where roads are unpredictable. High ground clearance and a commanding driving position make it the right vehicle for project site visits, hill routes, monsoon travel and escort duty.
The Camry Hybrid is a quiet, efficient executive sedan, well suited to daily corporate duty and airport transfers where comfort matters but flagship running costs are not justified.
Yes. The BMW 7 Series is offered as a flagship chauffeur car and the BMW 520d as an efficient executive sedan for daily corporate travel.
Yes. The Audi A8 L is available as an understated flagship, often requested for diplomatic and executive travel where a discreet arrival is preferred.
Yes. The Jaguar XJL is popular with clients who want a flagship that looks different from the usual choices, and it is frequently requested as a bridal car.
The Carnival offers genuine comfort for a full group of seven with proper luggage room, and is a practical alternative to running two sedans for family or corporate group travel.

Yes. We operate a modern coach fleet for movements where large groups travel together, including Volvo coaches for long distance and premium group travel.
Our coaches typically seat between thirty five and fifty passengers depending on configuration, with luggage capacity underneath.
Volvo coaches are the backbone of large group movement, used for conference delegates, long distance tour groups and corporate events where forty or more guests travel together.
Yes. All coaches offered for client assignments are air conditioned, with air suspension on the premium coaches for a considerably smoother ride.
Yes. Full size coaches have underfloor luggage bays suitable for airport transfers and multi day touring.
Yes. Conference delegate transport is one of our core coach applications, including staggered shuttle loops between hotels and venues.

Yes. We train and employ our own chauffeurs rather than sourcing drivers per trip, which is the main reason we can hold a consistent standard across cities.
Training covers defensive driving, route knowledge, passenger etiquette, protocol handling, discretion and grooming, delivered through our own KTC Academy programme.
Yes. Background verification, licence checks and document validation are completed before a chauffeur is assigned to client duty.
Our chauffeurs on corporate and premium assignments speak English. Language preferences can be noted at the time of booking.
Yes. Chauffeurs on client assignments are presented in uniform appropriate to the vehicle category and the occasion.
Yes. KTC employs women chauffeurs, and they can be requested for assignments where a client prefers it, subject to availability in that city.

Billing, Payments and Policies

Pricing depends on vehicle category, duration, distance and city. Local use is typically a four or eight hour package with a kilometre allowance, and outstation travel is billed per day. Full details are confirmed in writing before you book.
The quoted rate normally covers the vehicle, chauffeur and the agreed hours and kilometres. Fuel is included on chauffeur driven hire. Tolls, parking, state permits and any night allowance are billed at actuals unless stated otherwise.
Yes, these are billed at actuals and shown separately on the invoice rather than absorbed into an inflated base rate.
Additional hours and kilometres are billed at the pre agreed extra rate stated on your confirmation, so there is no surprise on the invoice.
We accept online payment through our secure payment page, bank transfer and the usual corporate settlement routes. Corporate accounts are invoiced monthly on credit terms.
Yes. Online payments are processed through CCAvenue, a regulated payment gateway. Card details are handled by the gateway and are never stored on our website.
The payment gateway supports international cards. If a payment does not go through, contact us and we will arrange an alternative settlement route.
Yes. GST compliant invoices are issued for every booking, with your GSTIN recorded so input credit can be claimed where applicable.
Yes. Corporate accounts receive a single monthly invoice covering all trips, broken out by cost centre, department or employee as required.
Retail bookings may require an advance or full prepayment, particularly for wedding fleets and multi day assignments. Corporate accounts on credit terms do not.
Cancellation terms depend on the vehicle and notice given. Standard bookings cancelled with reasonable notice attract no charge. Wedding fleets, vintage cars and large coach movements have longer notice requirements. Full terms are set out on our cancellation policy page.
Short notice cancellations may attract a charge, particularly where the vehicle has already been positioned or where a specific model was blocked for you. The applicable terms are shared at the time of booking.
Refunds are processed in line with our published refund policy. Where a prepayment has been made and the booking is cancelled within the permitted window, the amount is refunded through the original payment route.
A reasonable waiting allowance is included, particularly on airport pickups. Extended waiting beyond that is billed at the agreed hourly rate and is discussed rather than applied silently.
A night allowance applies for duty extending into late night hours, which covers the chauffeur. This is disclosed in your quotation.
Yes. Outstation journeys include a daily driver allowance covering the chauffeur meals and accommodation, stated clearly in the quotation.
Yes, always. We provide a written quotation covering the vehicle, package, inclusions and any extras before you commit.
Rates can vary during peak wedding and conference season when demand is high. Corporate contract rates are held for the contract period.

Self Drive, Leasing and Tours

Yes. Self drive vehicles are available on daily, weekly and monthly terms, fully insured, with documentation handled properly and roadside support behind you.
A valid driving licence, government photo identification and a security deposit. International visitors need a valid international driving permit alongside their home licence.
Yes. Self drive vehicles are insured. The excess and the specific coverage are explained clearly before you take the vehicle.
Self drive is most requested in Goa, followed by Delhi NCR, Bengaluru, Mumbai, Pune and Jaipur. Availability in other cities can be confirmed on request.
Yes, subject to the applicable permits and disclosure at the time of booking, since interstate travel affects both permits and insurance.
Long term lease places a vehicle with your organisation for an extended period, typically a year or more, with maintenance and support included, avoiding capital outlay and fleet management overhead.
